The solution is designed for all customers who need an accurate asset register with instant identification of where assets are located. It is for all those who for some reason are not satisfied with the registration in their system, or who register assets in Excel or in paper form, for example – a record book.
EMA – Operational records are not a substitute for accounting records of assets. However, it allows a more operational overview of the company’s assets with a link to a mobile application for quick inventory in the field.

The solution can be used whether you have the property registered or not. In the first case, you can export your list of assets to Excel format and import the data into our operational records. In the second case, you can set up the assets and other dials in our records via the input forms.
The solution consists of 2 parts that work together. The first part of the “webEMA” is installed on the PC. This is an operational asset register with the necessary data for carrying out a mobile inventory. The second part of “EMA mobile” is a mobile application for Android devices. Ideally, these are mobile terminals with a built-in 1D/2D code reader for fast and accurate reading of both the asset code and the location code. You can also use an Android phone or tablet with OS 4.4 and higher ideally with a Bluetooth scanner.
Asset tracking and inventory in 4 steps
Tracking
In the computer part of the webEMA, under PROPERTY, you will register your property and locations. In addition to these data, you can create additional dials such as responsible persons, asset type, economic object, organizational structure, define user access rights. You can also import assets and other dials in CSV text format or you can create them directly in the PC. Here, the program administrator also defines access rights for individual users. webEMA is a “web” application and can be accessed from any device that has a web browser. Depending on the rights you have set, you will see the options for working with the program. A large number of filters are available for sorting and searching assets. Selected data can be printed on common printers or exported to Excel format or simple CSV text format.

Labeling
Based on the data in the asset register and locations, you print out code labels for quick and accurate identification during inventory. We supply high quality, durable, plastic labels and label printers. You mark both assets and locations, e.g. by sticking a label on the door frame of the room.
Mobile inventory
On your Android mobile device, launch the EMA mobile app. Click the SYNCHRONIZATION button to import all the necessary asset data on the locations via WiFi to the device. When you enter a location, you scan the location code and then retrieve the individual property codes. The program checks the existence of the asset code in the database and also whether the asset is in the correct location.
If the code is not in the database, it will allow you to register the new property. If the code is in the wrong location, you have the choice of registering it in the new location or in the original location. Up to 3 optional fields can be entered for all retrieved assets, for example Date of last revision, Production number, etc. if you need to have this data collected during the inventory.
In case you also record some type of property by quantity, you must also enter the number found in the inventory. In addition, it is possible to mark assets for disposal and write a note during the inventory. When the inventory (even partial) is complete, click Sync to transfer the retrieved data to the computer for processing.
Inventory processing
The last step is to process the inventory data first as sorted lists for the inventory committee. You have a large number of filters to select assets and print lists. For example, a list of assets that were recorded as new, or were not in the correct location, have a different quantity, or were destined to be scrapped.
After the result has been approved by the inventory committee, the responsible officer may adjust the inventory data in webEMA. For example, during an inventory, an asset was marked for disposal but the inventory committee decided that it could be corrected and therefore remains in the inventory. Then you modify the inventory record of the selected asset and uncheck the flag to discard.
If you have approved the inventory data, you can end the inventory by clicking on the corresponding button in webEMA. All new data will be overwritten in the PROPERTY section.
