The solution is designed for all customers who need accurate asset management with immediate identification of where the asset is located. It is for anyone who, for any reason, finds their existing system inadequate, or who tracks assets in programs like Excel or in paper format – such as a logbook.
EMA – operational asset management does not replace the accounting records of assets. However, it provides a more operational overview of the company’s assets, with integration into a mobile application for quick inventory checks in the field.

The solution can be used whether you already have your assets recorded or not. In the first case, you can export your asset list to Excel format and import the data into our operational management system. In the second case, you can create assets and other reference lists using input forms in our system. The solution consists of two parts that work together. The first part, “webEMA,” is installed on a PC and serves as an operational asset management system with the necessary data for conducting mobile inventory. The second part, “EMA mobile,” is a mobile application for Android devices. Ideally, these are mobile terminals with a built-in 1D/2D barcode scanner for quick and accurate scanning of asset codes and location codes. You can also use an Android phone or tablet with OS 4.4 or higher, ideally paired with a Bluetooth scanner.

Tracking
In the computer part of webEMA under the ASSETS section, you can register your assets and locations. In addition to this data, you can create supplementary reference lists such as responsible persons, asset types, economic objects, and organizational structures, as well as define user access rights. Assets and other reference lists can also be imported in CSV text format or created directly on the PC. Here, the program administrator defines the access rights for individual users. WebEMA is a “web” application, and you can access it from any device with a web browser. Depending on the set permissions, you will see the available options for working with the program. A wide range of filters is available for sorting and searching assets. You can print selected data on standard printers or export it to Excel format or simple CSV text format.

Labeling
Based on the data in the asset and location records, you can print labels with codes for quick and accurate identification during inventory. We provide high-quality, durable plastic labels and printers for label printing. You can label your assets and locations, for example, by affixing a label to the door frame of a room.
Mobile inventory
On your Android mobile device, launch the EMA mobile application. By clicking the SYNC button, you can import all necessary asset data for locations via WiFi. Upon entering a location, scan its code, and then scan the codes of individual assets. The program checks the existence of the asset code in the database and verifies if the asset is at the correct location. If the code is not in the database, you can register a new asset. If the code is at the wrong location, you can choose to register it at the new location or keep it at the original one.
For all scanned assets, you can enter up to three optional fields, such as the date of the last revision or the serial number, if you need to collect this information during inventory. If you track any type of asset by quantity, you will also need to enter the counted amount during the inventory. Additionally, during the inventory, you can mark assets for disposal and add notes. After completing the inventory (even if partial), you can transfer the scanned data to the computer for processing by clicking the Sync button.
Inventory processing
The final step is processing the inventory data first as sorted lists for the inventory committee. You have a wide range of filters available to select assets and print lists. For example, you can create a list of assets that were recorded as new, were not at the correct location, have a different quantity, or were marked for disposal. After the inventory results are approved by the inventory committee, the responsible person can modify the inventory data in webEMA. For instance, if an asset was marked for disposal during the inventory but the committee decided it can be repaired and should remain in the records, the inventory record of the selected asset can be modified, and the disposal flag can be unchecked. Once the inventory data is approved, you can finalize the inventory by clicking the appropriate button in webEMA. All new data will then be updated in the ASSETS section.

Our technicians will assist you in preparing the input data by installing the application on your computer and mobile device and providing training. If you have a large number of assets and need a significant quantity of labels at the beginning, we also offer custom label production as a service from the provided Excel file. This applies to labeling locations as well.
